Timekeeping 101

Reduce seat time.

Project Background:

I was brought into this project because a lot of fresh design work was needed. Our internal stakeholders had been using a vendor to create and maintain this content, but a senior leader featured in the training had since moved on from the organization which presented some challenges. Our primary goals for this project were to reduce the Timekeeping courses seat time, which was 1 hour for nonexempt employees and 2 hours for exempt employees, and to develop the courses internally eliminating the external vendor costs and speeding up our maintenance in the future.

The launch of this course coincided with a major refresh of the online employee handbook and the Timekeeping section of our employee intranet site. In the moment it felt like a good opportunity to tee up these online resources in the eLearning course. Since these resources lived online and were constantly evolving, this method would save on future course maintenance development time.

The end result was two courses that were compliant with federal and state laws regarding nonexempt and exempt employee training, a reduction in seat time by over 50%, higher engagement with employee timekeeping resources, and an internally developed course which saves on future vendor spend.

What was my role in this project?

  • Met with the stakeholders during the intake call to define the needs of the project

  • Sketched out designs by hand to share early concepts with the project team

  • Reviewed all of the vendor created content and met with legal and compliance teams to identify the content that we were legally obligated to include

  • Wrote actionable learning objectives based upon my conversations with the stakeholders and legal contacts

  • Designed and developed two elearning courses, one for non-exempt employees and a second for exempt and manager employees

  • Worked with the stakeholders and subject matter experts to identify real scenarios that occur and pose potential timekeeping issues

  • Wrote the script for the eLearning course and engaged an outside vendor for narrator audio

  • Wrote, animated, and produced the live action and animated scenarios from b-roll footage and Vyond scenes

  • Recorded and edited all of the sound effects in the scenario scenes

  • Led a User Acceptance Testing session to identify functional issues and correct before launch

  • Coordinated with the LMS team to build and assign the course to the respective audiences
